Salem Academy and College Gift Entry and Donor Records Specialist

Position Summary

Salem Academy and College announces an opening for the Gift Entry and Donor Records Specialist.  Reporting to the VP of Institutional Advancement, the position is the main contact for donors and prospective donors who call the office. They are responsible for processing cash, credit card, online gifts and payments. Other primary responsibilities include entering gifts, gift reconciliations, research, gift reporting, and donor acknowledgements.

Essential Duties and Responsibilities

  • Serves as primary contact for questions related to donations, gifts-in-kind, pledges and receipting of gifts

  • Processes cash, credit card, online gifts and payments

  • Enters and reconciles gifts; prepares gift reporting; sends donor acknowledgements

  • Manages paperwork related to bequests along with other financial documents and forms

  • Works with the Business Office to set up new funds and update existing funds

  • Other duties as assigned

Required Qualifications

  • Must have a minimum of at three (3) years of customer service and data entry experience

  • Strong computer skills to include: Word and Excel

  • Skilled use of Microsoft Office software to include Word and Excel is required; experience with Raisers’ Edge or similar gift entry processing system is preferred 

  • Ability to generate reports for donor activity and giving results

  • Strong organizational and planning skills, attention to detail; ability to multi-task in a fast-paced environment with fluctuating priorities and deadlines

  • Excellent interpersonal skills; must possess the skills to collaborate, communicate and cooperatively work with faculty, staff and administration along with representatives from banking, insurance and other financial institutions

  • Ability to deal effectively with confidential information

Essential Physical Functions

While performing the responsibilities of the Gift Entry and Donor Records Specialist , the employee is required to sit for varying lengths of time; bend, reach, lift, push, and pull up to 15 pounds; occasionally stand, walk, and kneel and regularly ascend/descend stairs; use hands and fingers to handle or feel and manipulate keys on a keyboard; perform extended periods of work at a computer workstation, viewing computer monitor; perceive sounds at normal speaking levels with or without correction and receive detailed information through oral communication; express and exchange ideas by means of spoken word; and work in an office setting.
