Administrative Assistant

Salem Academy and College, the oldest continuously operating educational institution for girls and women in the country by its founding date of 1772, invites applications for an Administrative Assistant for the Academy.  Reporting to the Head of School this position provides support to all administrative departments to include Curriculum & Instruction, Student Life, and Admissions.  This includes a wide range of office and school operations: this role coordinates and organizes office activities and coordinates flow of communications and information for the main departments; provides support by planning, organizing, supervising and participating in the school office administrative operation; maintains confidentiality of sensitive and personal information; prepares and maintains a variety of records and reports related to assigned activities; during summer months, this position will also support summer programming such as camps and workshops.   The ideal candidate will exercise the highest degree of discretion and good judgment, will be proactive in anticipating needs, and will respect the need for confidentiality when dealing with highly sensitive information.

Essential Duties and Responsibilities:

  • Actively supports the mission of Salem Academy in the execution of this role and responsibilities
  • Acts as liaison between parents and faculty and administration, locating resources to answer inquiries
  • Communicates with families, students, staff, teachers and other school staff members 
  • Assists with the preparation of presentations, correspondence, forms, and reports 
  • Assists with compilation of surveys and other data for administrators
  • Manages the master calendar and other calendars, such as College Counseling or student events
  • Manages any weekly events update emails to students, parents, and staff; manage online resources
  • Files receipts, account allocation, and credit card reconciliation
  • Supports staff purchases and coordinates with business office
  • Assists in proofreading and editing correspondence
  • Keeps records organized; follows-up on action items
  • Completes administrative duties as assigned (e.g. answering phones, greeting guests, coordinating and scheduling meetings/appointments)
  • Attends and assists with occasional night and weekend events

Required Qualifications:

  • Bachelor’s Degree 
  • Excellent written and oral communication skills
  • High level of professionalism
  • Excellent organizational skills
  • Detail oriented
  • Ability to work both independently and as a member of a team
  • Ability to exercise discretion and good judgment with sensitive matters and information
  • Ability to remain calm and flexible in high pressure situations
  • Ability to take initiative, think critically, and problem solve
  • Ability to work collaboratively and effectively with various constituencies of the community
  • Strong interpersonal skills Proficient in, but not limited to, Google Suite Applications; Microsoft Office including Excel, Power Point, and Word
  • Familiarity and experience with Blackbaud and/or PowerCampus, including input of data and report generation
  • Minimum 2-3 years in an administrative position
